Position Summary:
The Payroll Administrator will manage end-to-end payroll processing for employees across Canada and the United States using ADP, ensuring compliance with federal, state, and provincial payroll regulations.
This role is responsible for maintaining accurate payroll operations across multiple jurisdictions and supporting payroll-related benefits administration, including U.S. 401(k) plans and Canadian RRSP / Group RRSP programs. The position will work closely with Finance and People Operations to ensure payroll accuracy, compliance, and timely reporting.
What you’ll do:
Payroll Processing
- Process semi-monthly payroll cycles for ~ 300 Canadian and U.S. employees.
- Administer payroll through ADP
- Manage salary, bonuses, commissions, and payroll adjustments
- Support onboarding, terminations and role changes within ADP
- Ensure proper handling of cross-border payroll differences
- Ability to manage sensitive employee and compensation information with a high degree of confidentiality.
- Act as main point of contact for all payroll related inquiries
- Collaborate with Finance and People team on various payroll projects
Compliance
Ensure compliance with:
United States
- IRS payroll tax compliance
- Multi-state payroll requirements
- 401K audits
- W-2 review and year-end reporting
Canada
- CRA payroll requirements
- CPP, EI, and income tax deductions
- T4 review and year-end reporting
- T2200 preparation
- WSIB filings for all provinces
Retirement & Benefits Administration
Administer payroll-related retirement and benefit deductions including:
United States
- 401(k) payroll deductions
- Employer match contributions
- Coordination with plan administrators
- Contribution limits and compliance monitoring
Canada
- Group RRSP deductions
- Employer contributions where applicable
- Contribution remittance to plan providers
- Coordination with benefits administrators
Reconciliation & Reporting
- Support payroll-related accounting entries and coordination with Finance during month-end close.
- Ensure payroll deductions align with benefits provider reports
- Produce payroll reporting for Finance and People Ops
What we’re looking for:
- 5+ years payroll administration experience
- Experience processing both Canadian and U.S. payroll
- Hands-on experience with ADP payroll systems
- Strong understanding of:
- Provincial payroll requirements
- State payroll tax rules
- Multi-state payroll processing
Nice to have
- Experience administering 401(k) plans
- Experience administering Group RRSP programs
- Experience managing year-end payroll processes (T4 and W-2)
Compensation Range: $90,000-$115,000 OTE annually, based on experience, market benchmarks and role complexity. We aim to offer fair, competitive pay that reflects your skills and the market.
